Privacy policy.
This policy explains how Mainstream Cleaning handles personal information when you contact us, ask for a price or book a service.
1. Who is responsible for your information
Mainstream Cleaning is responsible for the personal information used to handle enquiries, pricing and cleaning services. Privacy questions or requests can be sent using our email link or made by telephone on 07721 359226.
2. Information we may collect
Depending on how you contact us, we may receive:
- your name, telephone number and email address;
- your postcode, general location or service address;
- the service requested, preferred date, surface details and approximate size;
- whether water and electricity are available at the property and confirmation that a compatible threaded outdoor tap is available;
- photographs or videos you choose to send for pricing or job assessment;
- communications about the price, appointment, completed work, payment or feedback;
- basic technical server logs created by the website host, such as IP address, request time and browser information.
3. How the website contact form works
The contact form runs in your browser. When you choose WhatsApp or email, it prepares a message on your device. The website does not submit the contact questionnaire to a Mainstream Cleaning database and does not store the details entered into that form.
You can review, edit or cancel the prepared message before sending it. Once sent, the information is handled through the communication service you selected.
4. Public customer reviews and Firebase
The review feature uses Google Firebase Authentication and Cloud Firestore. When you publish a review, the display name, general area, service, star rating, review text and submission time are stored in Firebase and displayed publicly on this website.
Do not put telephone numbers, email addresses, full addresses, payment information or sensitive personal information in a review. An anonymous technical account identifier is used to limit repeated submissions from the same browser. Mainstream Cleaning may remove spam, abusive material, personal information or content unrelated to a genuine service experience.
5. Why we use personal information
We use information only where needed to:
- respond to enquiries and take steps you request before agreeing a service;
- assess a job, prepare and discuss a price;
- arrange, deliver and follow up a cleaning service;
- manage payments, accounting records, disputes and legal obligations;
- protect the website, communications and business from misuse or security incidents;
- publish a customer review or project image only where appropriate permission has been obtained.
The lawful basis will normally be taking steps at your request before entering a contract, performing an agreed service, complying with legal obligations, or legitimate interests in operating and protecting the business. Where consent is the appropriate basis, you may withdraw it.
6. Who information may be shared with
Information is not sold. It may be handled by service providers only where needed, including:
- WhatsApp/Meta when you choose to message through WhatsApp;
- Google/Gmail when you send or receive email;
- Google Firebase when reviews are authenticated, stored and displayed;
- Google Maps when the embedded service-area map is loaded or when you choose the external map link;
- the website hosting provider for security, delivery and technical logs;
- a payment provider when a QR payment link is issued;
- professional advisers, insurers, regulators or law-enforcement bodies where reasonably necessary or legally required.
Some providers may process information outside the United Kingdom under their own terms and safeguards.
7. Cookies, local storage, reviews and the service-area map
The website does not use advertising trackers, marketing pixels or analytics. The Firebase review feature may use essential browser storage to maintain an anonymous authentication session and help protect the review service from misuse. Firebase App Check may process technical browser and device signals for abuse prevention. These functions are necessary to operate and secure public reviews rather than for advertising.
The service-area section embeds a Google Maps street map. When it loads, Google may receive standard technical request information such as your IP address, browser details and request time under its own privacy terms. The separate “Open in Google Maps” control opens the same provider in a new tab. The website does not request your device location.
8. How long information is kept
Information is kept only for as long as reasonably necessary for the purpose for which it was collected. Enquiries that do not become bookings are normally deleted or anonymised when they are no longer useful. Customer, payment and accounting records may be retained for the period required by law, taxation, insurance or the handling of legal claims.
Published reviews may remain visible until they are no longer relevant, are removed following a valid request, or need to be removed for moderation, legal or security reasons.
9. Security
Reasonable technical and organisational measures are used to limit access and reduce the risk of loss, misuse or unauthorised disclosure. This website uses a data-minimising form design, restrictive browser security headers and no advertising or analytics trackers. No internet or email system can be guaranteed completely secure, so avoid sending unnecessary sensitive information.
10. Your data-protection rights
Depending on the circumstances and the lawful basis used, you may have rights to request access, correction, deletion, restriction, portability or objection to the use of your personal information. You may also withdraw consent where processing depends on consent.
To make a request, send us an email. We may need to verify identity or ask for reasonable clarification before releasing or changing personal information. Valid data-protection rights requests will be handled without undue delay and normally within one calendar month, subject to any extension permitted by law.
11. Data-protection complaints
To raise a complaint, send us an email with the subject “Data protection complaint”. Explain what happened, the information involved and the outcome you are seeking.
Mainstream Cleaning will acknowledge the complaint promptly, investigate it appropriately and explain the outcome. If you remain dissatisfied, you can raise a concern with the UK Information Commissioner’s Office.
12. Children
The website and services are not directed at children, and Mainstream Cleaning does not knowingly request personal information directly from children.
13. Changes to this policy
This policy may be updated when business processes, service providers, legal requirements or website features change. The latest version and update date will be published on this page.
